Planning a Reunion

We look forward to your stay here at Mountain Springs and hope you will let us know if there is anything we can do to prepare for your visit. We want this to be a memorable stay for you and your group.

We have a 3-4 night minimum stay. June, July and October reservations for groups require a 4 night minimum. Check with our office to find out if any discounts might be available at your time of booking.

Once you decide you want to have your reunion here please call our office. We will block off your reunion dates for 4 days so your family will have time to make their reservation. Mountain Springs is happy to provide a sample letter to send out to your family informing them of the reunion location as well as links to our website and other helpful information.

It is usually best to let each party make their own reservation, unless you are going to be responsible for the bill. We find most people tend to keep their reservations when done in this manner. If you would like, we can send you a sample copy of a group letter many of our guest have used in the past.

Our property is reserved for registered guests only. If you wish to have any guests on the property that are not renting a cabin, this must be discussed well in advance with the office. You may not have guests just drop in due to liability issues.

In large groups, the picnic pavilion or bonfire area is usually the main gathering-place.

We ask that one member of your party be responsible for the security deposit credit card slip, for the group. You may want to go over our guest policy with everyone and make sure they understand it.

A $200 group fee applies to any group reserving 4+ cabins or when reserving 3 or more cabins where one of the cabins reserved is streamside (streamside cabins are The Duck Tavern, Speckled Trout, and Willow Creek). The group fee is the responsibility of the organizer or contact person from your group. Once we have your contact information we will send you and all other group guests a group policy to review.

When reserving cabins for a group gathering, we hold to our “no cancellation policy”. Holding multiple cabins off the book for any period of time makes it difficult to re-book.

We will set up all the recreation equipment & tubes for tubing, (water level permitting) etc. at the recreation area, so your group does not have to go back and forth to the office to check these items out. It will all be checked out to the group representative and all borrowed items are expected to be returned to us in good condition.

We ask that children be supervised at all times. The playground equipment and stream areas are for everyone’s enjoyment; but since they are not staff supervised, please have an adult present when children are playing in these areas.

Bikes, scooters or skateboards are welcome on the property but not on the "Big Hill" in front of Cabins 7,8, & 9 (due to liability issues.)

The big bridge at end of the property is privately owned and off limits to all of us. We want to respect our neighbor's property, so we ask that you please stay off the bridge.

Due to the antique furnishings and the possibility of scarring the floors, we ask that you do not move the furniture in the cabin with the exception of the straight back chairs.

We appreciate and expect that any borrowed items from the office be returned to the office in the same condition.

Please take care when taking items from one cabin to another. Anything taken from one cabin (i.e. dishes, flatware, pillows etc.) must be returned to its original location.

Feel free to move the lawn furniture, but please return it to its original location when you finish with it or before you check out.

Please make arrangements with our office if you would like to have a bonfire. This is a US Forest Service Policy. We will need to pull a fire permit in advance. A Large basket of firewood, kindling and starter will be set out at the reserved pit for you.

Please also make arrangements to reserve the picnic pavilion. It is here for you to enjoy. In order to insure it will be available for your group please reserve it through the office. If you are booking the whole property, then it is there for you at anytime; there is no need to check with the office.

If you are not booking the whole property for your group, we try to maintain quiet time after 9:30 PM. If your group has all 3 of the streamside cabins booked, this quiet time does not apply to you if you are using the recreation area and pavilion. We do ask that you respect our other guests after this time. Many guests are likely to be enjoying the quiet on their porches or finding a nice place to sit and watch the fireflies and listen to the peepers.

Group childcare activities can be arranged with at least a two-week notice. We have staff that can organize an afternoon or evening of games, exploring, bonfire and cookout if your group would like to have a little "Adult time." Email us for more information.

You can also contact our “group liaison” at the Asheville Visitor’s Bureau, Carli Adams at 828-258-6106 or via email at carliadams@ashevillechanber.org. Please tell her you are staying with us and she can help you with anything you want. From caterers to restaurants that can accommodate large groups to special group rate tickets to many area attractions…just ask.

And of course we are here to help you with anything you might want to plan. We have florists, musicians, and more, that we work with on a regular basis and are happy to help plan.

Please let us know if you have any questions. We do want this to be your best reunion ever!
